JOB DESCRIPTION – AIRPORT TERMINAL COORDINATOR


The Airport Coordinator is responsible for overseeing the designated Entry/Exit Terminal, ensuring a smooth and safe transition for players between the Airport Terminal and Venues. Reporting to the Airport Manager, this role involves managing a team of Airport Assistants, ensuring staff receive adequate breaks and maintain high-quality services throughout their shift. The Airport Coordinator will initially manage any issues or emergencies that may arise, such as delays or cancellations, before escalating to the Airport Manager. Communication with Airport/Terminal staff, Airline Staff, Transport Partners, players, and parents is a key aspect of the role, as is representing Euro Sports Camps and Partner Brands professionally. The Airport Coordinator is crucial in creating a positive first impression for players and parents attending the camps.


ROLES AND RESPONSIBILITIES


General

  • Manage the Airport Assistants, ensuring they receive adequate breaks, tasks are fairly distributed, and working hours are clearly communicated.
  • Efficiently manage player movements by establishing regular contact points, monitoring their transitions, and maintaining an up-to-date overview of their locations at all times.
  • Address any issues or disruptions in the terminal, escalating them to the Airport Manager as needed.
  • Assist the Airport Manager in delivering a positive experience for players and parents by ensuring their journey through the airport is smooth and seamless. Support with additional tasks or responsibilities as assigned by the Airport Manager.

Arrival Days (Monday):


  • Collect the Terminal information from the Airport Manager (located in Airport Hub) and receive instructions before moving across to your designated terminal.
  • Greet the Airport Assistants assigned to your terminal. Provide a quick overview of the day and assign tasks accordingly.
  • Monitor flights that are due to arrive at your designated terminal and communicate any flights that are excessively late or cancelled.
  • Manage any issues or disruptions that may arise, such as lost luggage. Ensuring essential information is collected and communicated effectively.
  • Once players arrive, communicate their arrival through the correct channels and provide updates on their movements between terminals, ensuring all players transition efficiently to guarantee they make their designated shuttle.
  • Liaise with transport providers, checking drivers carry identification (including DBS) and re-confirm they have accurate venue/player information.
  • Engage with players in the terminal holding area, ensuring their safety and well-being.
  • Greet players and parents at the Airport Terminal, providing a warm welcome to all passengers.

Departure Days (Sunday):


  • Collect the Terminal information from the Airport Manager in the Airport Hub (Terminal 2 London Heathrow/ South Terminal London Gatwick). Receive any instructions and support with the initial shuttles due at the Airport, before escorting players and staff across to your designated terminal.
  • Provide Airport Assistants with a quick overview of the day and assign tasks accordingly
  • Highlight any Un-Accompanied Minors (UM) due at your terminal and collect/complete Airline Specific UM Forms in advance. Any unknown details can be completed once the player arrives at the terminal.
  • Support the Airport Manager/Terminal Managers in separating players and ensuring all players are delivered to the correct terminal.
  • Support players with the check-in process and re-confirm their understanding of how to find their gate once through security.
  • Supervise players in the holding area and ensure players are kept safe and happy.

PERSON SPECIFICATION – AIRPORT TERMINAL COORDINATOR


All staff, on camp and in the airport, contribute to the overall smooth running of the children’s camp experience. Ultimately the safety of children is paramount, and the high standards expected of working with top brands needs to be maintained. We expect high personal standards, friendly, positive and approachable staff who will always remain professional and calm. Staff will be able to handle sensitive situations well, adhering to confidentiality and data protection guidance, have excellent organisational skills, be good role models and be able to contribute to a positive working environment.


THE IDEAL CANDIDATE WILL:

  • Have previous experience managing a team
  • Have experience working with children and young people
  • Be organised and have good attention to detail
  • Be available on Sundays and or Mondays throughout July and August
  • Have a positive and welcoming attitude
  • Be physically able to support players with suitcases up to 25kg and be able to walk 10,000 steps

LOCATION & HOURS


  • London Heathrow or London Gatwick
  • Airport operating hours are from 08:00 – 16:00, however, due to the nature of our business, the hours may vary from week to week and there might be times when you need to work additional or alternative hours
  • Travel expenses (up to £20) to be reimbursed monthly following each shift
  • Lunch expenses (up to £10 or a hot meal) to be reimbursed monthly following successful shifts
